Find and export
your Box data.

Box's organization storage figure gives a starting total. User reports and folder ownership help describe where the material sits and which accounts need to be included in a collection.

Find your Box data size

  1. Use an Admin or eligible Co-admin account and open Admin Console.
  2. Go to Account and Billing and read current storage in the Usage section.
  3. Review Insights → Storage for detail, where available.
  4. Run a User Engagement report under Reports for user-level storage and owned file counts.
User Engagement storage excludes trash and may differ from the organization total. Record which measurement you used.

What to include in your data inventory

Report in GB, identifying the organization total and the users or folders proposed for inclusion. Add file counts when available.

Give the earliest retained document date and the number of managed users represented. Describe version history and trash separately if relevant.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Box history

  1. Open Admin Console → Content → Content Manager and identify the users who own folders in scope.
  2. Select accessible folders and use Download to collect ZIP archives.
  3. Split larger collections or ask a developer to use the Box API, Box's software interface for retrieving files.
  4. For held content or earlier versions, review Box Governance and the appropriate export permissions with the administrator.

Download limits depend on the collection route. Confirm the applicable limit before attempting a large archive.

Content Manager downloads provide current files. Trash and earlier versions need an export route that explicitly supports them.

Why Box data has value for AI training

Box folders can connect project files, customer deliverables and the reference documents used to create them.

Ownership and folder structure help explain which business function each document belongs to.

What stays private

Choose the users, folders and versions to include. Restricted or third-party material can be excluded from the collection.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled. Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.

Common questions about Box data

Which storage total should we report?

Use the organization figure from Account and Billing, and identify any narrower folder scope you are proposing.

Why does User Engagement show less storage?

That report excludes trash. Different measurements can cover different content.

Are old versions part of a folder download?

Content Manager ordinarily downloads current versions. Confirm another route if earlier versions are needed.

Can we export held content?

Box Governance offers legal-hold collection routes. Availability depends on your subscription and permissions.
