Find and export
your Notion data.

Notion has no single workspace storage meter for this purpose. A workspace export provides a measurable collection of pages, databases and uploaded files, limited by the exporting user's access.

Find your Notion data size

  1. Use a workspace owner account on desktop or web, with access to the teamspaces in scope.
  2. Open Settings → Workspace → General and choose Export all workspace content.
  3. Select Markdown & CSV or HTML, with files and images included where required.
  4. Download the completed archive, extract it and measure the resulting folder in MB.
Record whether the figure is compressed ZIP size or extracted folder size. Pages inaccessible to the exporting user can be omitted.

What to include in your data inventory

Report in MB, with the format, file inclusion and access scope stated. Add page and database counts where available.

Describe the oldest retained content, the teamspaces and staff users represented, and any important private-page exclusions.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Notion history

  1. Review the workspace owner's access to the required teamspaces and pages.
  2. Run Export all workspace content with the agreed format and files option.
  3. Download every archive part from the completion email before expiry.
  4. Inspect the sitemap and sample database files, checking any required comments and uploads.

Markdown exports represent pages as text and database tables as CSV, with additional page files. HTML provides a different representation and can support comment inclusion.

An exported folder is a copy of supported content, with different features from a complete restorable Notion workspace.

Why Notion data has value for AI training

Internal pages can capture the instructions and decisions used to run a business.

Database relationships and page structure can provide context about how a team organizes its knowledge.

What stays private

Select the teamspaces and pages in scope, excluding personal or confidential material and checking embedded-file rights.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled. Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.

Common questions about Notion data

Does the owner automatically export every private page?

The export is limited by the exporting account's access. Check private pages and teamspaces explicitly.

Should we measure the ZIP or extracted folder?

State which you measured. The extracted size is useful because compression can substantially reduce text files.

Are uploaded images included?

Choose the files and images option and inspect the resulting export.

Does a Markdown export preserve every Notion feature?

It provides supported pages and tables in portable formats. Review comments, views and other feature coverage separately.
