Find your Microsoft Dynamics 365 Sales data size

  1. Use the Power Platform admin center with an appropriate tenant, Power Platform or Dynamics 365 administrator role.
  2. Open Licensing → Dataverse under Products.
  3. Review Usage per storage type, then open the Sales environment's storage details.
  4. Record database, file and log usage separately, along with the table-level breakdown available.
Tenant consumption can combine several environments and workloads. Identify the Sales environment you measured.

What to include in your data inventory

Report database storage in GB and file storage separately. Describe the main tables, such as accounts, opportunities and activities.

Check the earliest Created On dates, mention imports, and include assigned Sales users. Logs can have different retention from business records.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Microsoft Dynamics 365 Sales history

  1. For a smaller table, open its view in Sales and use Export to Excel → Static worksheet, checking the selected scope.
  2. For a larger table collection, have a Dataverse administrator review Azure Synapse Link in Power Apps.
  3. Under Link data → Other Links, create or manage the link to the company's approved data-lake storage.
  4. Select the tables required and collect the resulting snapshots with their schema and relationship fields.

Synapse Link requires the appropriate Azure storage setup and permissions. Eligible tables must have change tracking enabled.

File attachments and complete activity content need their own coverage check. A table export alone does not establish that every associated file was collected.

Why Microsoft Dynamics 365 Sales data has value for AI training

Sales tables can connect account history, quotes and opportunities to the activities recorded during a deal.

Company-specific table relationships can provide examples of how an enterprise sales process is carried out.

What stays private

Select the environment, tables and fields in scope. Keep unrelated environments and sensitive records outside the collection.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled. Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.

Common questions about Microsoft Dynamics 365 Sales data

Should we use the whole tenant's storage?

Use the relevant Sales environment and identify any other workloads included in its figures.

Why list database and files separately?

They represent different material: structured records and associated file content. Logs are a further separate storage type.

Is an Excel export suitable for every table size?

Excel exports have limits. Ask the administrator about a supported bulk extraction for a larger collection.

Can Synapse Link export any table?

Microsoft requires eligible tables to have change tracking enabled, alongside the required storage and access setup.
