Find your Pipedrive data size

  1. Use a global admin account with visibility over the records in scope.
  2. Open an unfiltered Deals list and inspect its summary count.
  3. For other item types, export the full relevant list and count its rows, excluding the header.
  4. Keep separate counts for leads, people, organizations, activities and notes before calculating a total.
A user's visible records can be limited by permissions and visibility groups. Confirm the account scope before counting.

What to include in your data inventory

Report in records, naming the item types in the total. Describe associated notes and files separately.

Use the earliest creation date in the exports for the years covered and include the active account users.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Pipedrive history

  1. Open the account menu and select Tools and apps → Export data.
  2. Choose an item type and CSV or Excel, then start the export.
  3. Download the file from Generated exports using its cloud icon.
  4. Repeat for each relevant item type and retain the identifiers linking records together.

Pipedrive keeps generated exports available for 28 days. List-view exports reflect the filters and visibility used.

Check the content of the Files export and collect actual file contents separately where needed.

Why Pipedrive data has value for AI training

Deals and their activities can show the follow-up that accompanies a sales pipeline. Notes add context about what happened between stage changes.

Links between people, organizations and opportunities help relate each action to the customer involved.

What stays private

Choose the pipelines, item types and fields to include. Exclude confidential notes or third-party files as needed.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled.
