Find and export
your GoHighLevel data.

HighLevel keeps business records inside separate sub-accounts or locations. Report their scope individually, especially when an agency manages several unrelated businesses.

Find your GoHighLevel data size

  1. At agency level, open Sub-Accounts and use Export Report for a contacts-count overview where available.
  2. Within each sub-account, open Contacts → Smart Lists and select all relevant contacts.
  3. Export contacts and count the CSV rows; obtain the opportunity count separately.
  4. Record the location name and filters beside every total.
Each sub-account has its own collection. An agency-wide total should identify which business locations it represents.

What to include in your data inventory

Report in records, with contacts and opportunities counted separately for each location. Note available conversations, calls and attachments.

Use the oldest contact creation date for the starting year and include users assigned to the sub-account.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your GoHighLevel history

  1. As an authorized admin, open Contacts → Smart Lists and select All Contacts for the desired scope.
  2. Use Manage Fields to display the columns required, then choose More → Export.
  3. Download the completed CSV from Contacts → Bulk Actions.
  4. In Opportunities, use Export Opportunities where available and repeat for each location.

Only displayed fields are included in contact exports. HighLevel notes that the latest contact note can be truncated to 255 characters.

Contact CSVs exclude automation history such as previous emails and SMS logs. A conversation collection needs another supported route, such as the HighLevel API.

Why GoHighLevel data has value for AI training

Location-level records can connect an inquiry with a pipeline opportunity and subsequent follow-up.

When available, the associated conversations help explain the steps behind a booking or sale.

What stays private

Include only the locations and business records your company has rights to provide. Agree conversation scope separately.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled. Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.

Common questions about GoHighLevel data

Can we export several sub-accounts together?

Contact exports run separately for each location. Keep each location's identity with its files.

Will the CSV include past emails and SMS?

HighLevel says contact exports exclude that automation history. Plan a separate conversation extraction.

Why are some fields missing?

Customize the displayed fields before exporting. Only the selected visible columns are included.

Where do we download the finished contacts file?

An Agency Admin or Location Admin can download it from Bulk Actions. The link is disabled after 30 days.
