Find and export
your Salesforce data.

Salesforce separates structured record storage from file storage. The object breakdown can describe the CRM's size, with attachments and document versions reported alongside it.

Find your Salesforce data size

  1. Sign in with a System Administrator account.
  2. Open Setup, search Storage Usage in Quick Find, and select it.
  3. Record the counts for the business objects in scope, such as Accounts, Contacts, Opportunities and Cases.
  4. Note Data storage and File storage separately, including the units shown.
Storage allocation and record counts measure different things. Use the object counts directly when available.

What to include in your data inventory

Report in records, listing each object counted and the combined total. Give file storage in GB separately when attachments form a substantial collection.

Check the oldest Created Date among relevant records, mention migrated history, and count active licensed users.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Salesforce history

  1. In Setup, search for Data Export.
  2. Use Export Now when available, or configure a scheduled export according to your edition.
  3. Select the objects in scope and the attachment, Files and document-version options required.
  4. Start the export and download every ZIP archive from the completion email within 48 hours.

The service creates CSV archives and can split a large collection into several ZIP files. Export frequency depends on the Salesforce edition.

Review excluded fields and deleted-record coverage. Data Loader offers object-level exports and a separate Export All option for recoverable deleted records.

Why Salesforce data has value for AI training

Salesforce records can connect an opportunity to the actions taken before a sale, or a case to the work that resolved it.

Custom objects and related documents can preserve the process specific to a company's operations.

What stays private

Choose the objects and files in scope. Review sensitive fields before defining the material to license.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled. Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.

Common questions about Salesforce data

Why is Export Now unavailable?

The service enforces an export interval that depends on your edition and the previous export.

How long are the files available?

Salesforce deletes the ZIP files 48 hours after the completion email. Download every archive promptly.

Are attachments included?

Select the appropriate attachment and Salesforce Files options when configuring the export.

Does Data Export include deleted records?

Review its exclusions. Data Loader's Export All is a separate route for soft-deleted records that remain recoverable.
