Find and export
your Google Chat data.

Google Chat reports describe recent activity. Google Vault can search retained conversations and provides message-count information with an export when your Workspace edition and permissions support it.

Find your Google Chat data size

  1. Use a Google Workspace administrator account with the Reports privilege.
  2. Open Reporting → Apps Reports → Google Chat to review message activity and types.
  3. For user-level activity, open Reporting → User Reports → Apps usage and check the Chat metrics and their reporting windows.
  4. If your organization has Vault, use a Chat search and export to establish the count for the retained conversations in scope.
Report windows and retention are different. Vault can only retrieve the messages available under your history and retention settings.

What to include in your data inventory

Report in messages. Include the dates, spaces or accounts covered, and whether the count comes from reporting or a Vault export.

Record the oldest retained message date and the number of staff accounts using Chat. Describe spaces, direct messages and attachments separately when their availability differs.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Google Chat history

  1. With the required Vault privileges, open Google Vault → Matters and create or select a matter.
  2. Search the Chat service for the accounts, organizational units, spaces and date range in scope.
  3. Review the results and select Export. Download the message archives and accompanying metadata together.
  4. If Vault is unavailable, ask a super administrator about the Workspace Data export tool and check which Chat content that export covers.

Vault exports include retained messages sent with history on. Linked Drive files and messages in spaces owned by another organization need separate consideration.

Workspace Data Export has a different scope from Vault. Review the export summary before treating it as a complete archive of spaces and group chats.

Why Google Chat data has value for AI training

Chat spaces can preserve how a team responds to requests and resolves problems. Threads and timestamps connect individual replies to the work being discussed.

Those conversations can provide examples of task coordination across people who share a Workspace environment.

What stays private

Select the accounts and spaces you want considered. Keep personal or confidential conversations outside that selection.

Common questions about Google Chat data

Does Vault include messages sent with history off?

Vault searches and exports retained Chat messages sent with history on. Check your organization's history and retention settings.

Do linked Drive files come with every Chat export?

Linked files have their own storage and permissions. Plan a separate Drive collection when they are part of the dataset.

Can we use an activity report for the inventory?

Yes. Include its date window and identify any projection to a longer period as an estimate.

What if our Workspace edition has no Vault?

Ask your administrator about Data Export and any available Vault licensing. Confirm the Chat content included before planning delivery.
