Team chat

Find and export
your WhatsApp Business data.

The WhatsApp Business phone app and the Business Platform store history in different places. Start by identifying whether your team works from the app, an integrated inbox or its own message database.

Find your WhatsApp Business data size

  1. Identify the product in use: the WhatsApp Business app on a phone, or the Business Platform / Cloud API through another system.
  2. For the app, export representative business chats and count their messages. Record the number of chats the estimate covers.
  3. For a connected inbox or API setup, ask the provider or developer for the count of stored incoming and outgoing messages.
  4. Check the oldest message still available in that system and whether media files have also been retained.
For a Platform integration, use the history your provider or company saved. Confirm its retention settings before assuming earlier conversations are available.

What to include in your data inventory

Report in messages and identify the app or provider. Include the number of business conversations and the dates covered. Explain any estimate based on a sample.

State whether photos, voice notes and documents accompany the messages. Count the staff or agents who handle the business inbox.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your WhatsApp Business history

  1. In the phone app, open a business chat and use its Export chat option. The menu location varies between Android and iPhone.
  2. Choose whether to include media and save the export to storage controlled by your company.
  3. Repeat for the business chats in scope, keeping each conversation and its media together.
  4. For a provider inbox or custom integration, use that system's export function or ask its administrator to extract the stored message history.

A phone backup is intended to restore WhatsApp. A chat export provides a readable file for the selected conversation.

Check the start date of each exported chat and any export limits shown by the app. Media and older messages may have different availability from the chat currently visible on the phone.

Why WhatsApp Business data has value for AI training

Customer chats can connect an inquiry with a quote, appointment or resolved issue. Informal wording and photos provide context about how customers describe their needs.

Preserving message order makes it possible to follow the exchanges that led to an outcome.

What stays private

Choose the business conversations to include, especially when the same device also contains personal chats.

Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.

Common questions about WhatsApp Business data

Can we export all app conversations together?

The app's chat-export route works one conversation at a time. A restore backup serves a different purpose.

Where do we get Cloud API history?

Use the database, CRM or business inbox that saved the messages. Ask the provider how far its archive goes back.

Can we include photos and voice messages?

The app offers an option to include media. For provider inboxes, check whether the export includes actual files or links.

Can we estimate the message count?

Yes. Describe the chats sampled, the counts found and how you calculated the larger estimate.
