Photos, video and social

Find and export
your Google Photos data.

Google Photos can hold company images and videos outside the main Drive collection. Workspace storage tools can identify usage, with an account-by-account Takeout export used to collect the media.

Find your Google Photos data size

  1. Use a Google Workspace administrator with Storage privileges.
  2. Open Google Admin → Storage and inspect the Google Photos service usage.
  3. Identify the accounts holding business media and confirm the libraries in scope.
  4. Measure exported libraries separately when a narrower business-only figure is required.
Photos is an additional Google service and may be enabled only for selected users. A Workspace total can mix business and personal media.

What to include in your data inventory

Report in GB, identifying accounts, business albums and the measurement basis. Add photo and video quantities where available.

Give the oldest relevant media dates and contributors represented. State any overlap with copied Drive files.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Google Photos history

  1. Confirm that Google Takeout is allowed for the relevant accounts.
  2. Each account owner selects Google Photos in Takeout and chooses the albums or scope required.
  3. Create the export and download every archive part before its link expires.
  4. Keep original media with its accompanying metadata files and album context.

Takeout can split a large library into several archives. Collect all parts rather than only the first download.

Some metadata is stored in separate JSON files. Retain those alongside the images and videos.

Why Google Photos data has value for AI training

Business media can document products, projects and changing site conditions.

Dates and album context can connect visual evidence with the work recorded elsewhere.

What stays private

Select business media and albums, reviewing personal photographs, identifiable people and client rights.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled. Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.

Common questions about Google Photos data

Can an admin export every user's Photos in one personal request?

Takeout operates for the signed-in account. Plan the account scope explicitly.

Why are there several archive parts?

The export splits according to the selected archive size and library volume.

Should metadata JSON files be retained?

Yes. They can contain information outside the media file itself.

Is the whole Photos total necessarily business data?

Review the accounts and albums to identify the business material in scope.
