Project management

Find and export
your Jira data.

Jira search provides a work-item count for the projects a user can browse. A site backup covers more of the working history than a spreadsheet exported from a limited search.

Find your Jira data size

  1. Use an account with browse access to all projects in scope.
  2. Open the search for all work items and remove filters that limit the project or date range.
  3. In JQL, Jira's search language, use ORDER BY created ASC to sort the retained items by creation date.
  4. Record the result count and earliest item date.
An administrator role does not by itself establish visibility over every project. Confirm browse permissions and the search scope.

What to include in your data inventory

Report in records, giving the work-item count, project scope and years covered. Describe comments, attachments and custom fields.

Mention archived or restricted projects separately and include staff users represented.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Jira history

  1. As a Jira admin, open Settings → System → Backup manager under Import and Export.
  2. Choose Create backup for cloud and include additional files when attachments are required.
  3. Download the completed archive and retain its data and attachment folders together.
  4. For selected items, use search Export CSV – all fields, splitting the search into non-overlapping batches when required.

CSV export limits can require several batches. Attachment URLs in a CSV are separate from the actual files.

Site backups have exclusions, including some app data. Review the backup scope and account export policies.

Why Jira data has value for AI training

Issues can connect a reported problem with discussion, investigation and completion.

Project, sprint and comment context helps explain how technical work was organized.

What stays private

Select the projects and fields in scope, reviewing private issues and sensitive attachment content.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled. Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.

Common questions about Jira data

Why do users get different counts?

Search returns items each user can browse. Permissions and filters affect the result.

Does a CSV include attachment files?

It can contain attachment references. Collect the files separately or include them in a supported backup.

Can one CSV cover a very large site?

Check Jira's export limits and split the search into documented, non-overlapping batches.

Does a site backup include every app's data?

Review the exclusions and arrange separate app exports when required.
