Find your Trello data size

  1. On eligible plans, use a Workspace admin account and open Workspace → Settings → Export.
  2. Select the required boards and archived-card options.
  3. Count card records in the exported board files.
  4. For a single board, use its Print, Export, and Share menu to obtain JSON and inspect the card collection.
Board CSV and JSON exports can have different comment and archived-card coverage. Identify the format and scope beside the count.

What to include in your data inventory

Report in records, giving card count, board scope and retained years. Describe checklists, comments and attachment availability.

Use the oldest included card history and the staff users represented. Label archived or otherwise excluded content.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Trello history

  1. For an eligible workspace, create an export under Settings → Export.
  2. Include archived cards and raw attachments when required and available.
  3. Download the archive and preserve the board CSV and JSON files together.
  4. For board-level collection, export JSON and verify its action-history and attachment limits.

CSV is useful for a card table, while JSON can include additional structured history. Check the actual contents for older comments.

Attachment references and downloaded attachment files are separate. Confirm the raw-file option or collect them through another supported route.

Why Trello data has value for AI training

Cards and checklists can record how a team breaks work into steps and reviews completion.

Comments and moved-card context can explain changes in priority or approach.

Common questions about Trello data

Can any user export the whole workspace?

Workspace exports require the relevant plan and administrator role. Single-board export has its own permissions.

Are archived cards counted automatically?

Review the export's archived-card option and the format used.

Does board CSV preserve comments?

Check its scope separately. Use an appropriate structured-history route when comments are required.

Can the archive include actual attachments?

Eligible workspace exports offer a raw-attachments option. Verify it is selected and inspect the result.
