Find your Xero data size

  1. Use a role with the required report and export access.
  2. Open Account Transactions in Reports and set the full retained period.
  3. Export the detail and count the relevant rows or unique transaction identifiers, stating the definition used.
  4. Use Receivable Invoice Detail and Payable Invoice Detail for separate invoice and bill quantities.
Account transaction rows and unique invoices measure different material. Keep their counts identified separately.

What to include in your data inventory

Report in records, with ledger entries, invoices, bills and contacts named where included. Describe attached-file availability.

Give the earliest retained financial year, relevant organizations and the staff users represented.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Xero's guidance calls for exports from individual areas and reports. Available formats vary by the record type.

A report export reflects its selected fields, dates and permissions. Maintain an index of the periods and record types collected.

Why Xero data has value for AI training

Ledger and document records can show how a business categorizes transactions and prepares its accounts.

Linked invoices and reports provide context for financial review and reconciliation workflows.

What stays private

Select the organizations, periods and fields in scope, reviewing sensitive financial and personal information.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled. Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.
