Find your Aircall data size

  1. Sign in to the Aircall Dashboard as an admin or a supervisor with the required number access.
  2. Open Call History and set the dates and phone lines.
  3. Export the filtered results and identify calls that have recordings.
  4. Sum recording duration where available, or use in-call duration as a labelled estimate. Convert seconds to hours by dividing by 3,600.
Dashboard access and long-term recording retention can have different windows. Confirm older history with Aircall support.

What to include in your data inventory

Report in hours, giving recording count, dates and numbers or teams represented. Describe transcript availability separately.

State the plan, retained start date and users whose calls are included. Keep waiting and IVR time separate from recorded conversation time.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Aircall history

  1. Export Call History and relevant analytics for the dates in scope.
  2. Download available recordings through the Dashboard.
  3. For a larger collection, have a developer retrieve calls and their media links through the Calls API.
  4. Ask support about older retained recordings that the Dashboard no longer exposes.

Recording links can expire quickly. An API collection should download media promptly and handle paging and rate limits.

Analytics and call-history CSVs provide metadata; audio files are collected separately.

Why Aircall data has value for AI training

Phone conversations can connect a customer's request with the agent's questions and response.

Line and team metadata can help explain how different business functions handle similar situations.

What stays private

Select the business numbers and calls to include, with recording consent and sensitive content reviewed.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled. Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.

Common questions about Aircall data

Why can we see fewer months than our retention period?

Dashboard access and retained storage can differ. Ask support about older recordings.

Do analytics exports include the audio?

Download the recordings separately from the reporting files.

Should waiting time count toward audio hours?

Use actual recording durations where possible. Describe any approximation from call metrics.

Can API links be kept for later?

They can expire. A developer should fetch the media while the returned links remain valid.
