Find your Zoom Phone data size

  1. Use the Zoom web portal as the account owner or an authorized admin.
  2. Open Admin Center → Product configuration → Phone system → Logs.
  3. On Calls, set the dates and export the CSV, checking the Recorded field.
  4. Review Recordings for the retained media and total recording duration. Treat a call-duration approximation as an estimate.
Phone usage totals include activity that may have no retained recording. Check the recording list and auto-delete policy.

What to include in your data inventory

Report in hours, with the recording count, period and users or queues covered. Describe voicemail and transcripts separately.

Use the oldest retained recording date and include any audio copied to the company's own storage.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Zoom Phone history

  1. Export the phone call log for the required date ranges.
  2. Open the Recordings tab and download each recording using its Download control.
  3. Keep MP3 files associated with call IDs and dates.
  4. For a large archive, ask Zoom support or a developer about a supported bulk route and its permissions.

Retention and automatic deletion settings control the history available. Confirm the policy currently applied to the account.

Call logs and recording downloads are separate collections. Check all users and queues included in the proposed scope.

What stays private

Choose the phone users, queues and dates to include, reviewing consent and sensitive call content.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled. Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.
