Find your CallRail data size

  1. Open Call Log with access to the companies in scope.
  2. Set the longest relevant retained date range and export the call information.
  3. Identify calls with available recordings and total their recording durations.
  4. For a larger account, ask a developer to use the Calls API and its recording_duration field.
Use recording duration when available. Call duration and recording duration can differ, and a call can have no recording.

What to include in your data inventory

Report in hours, with recording count, dates and company or number scope. Convert duration seconds to hours by dividing by 3,600.

Describe transcription availability and separate company backups. Confirm the oldest actual recording rather than the account creation date.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your CallRail history

  1. Export the call metadata for the agreed dates and companies.
  2. Have a developer retrieve all applicable pages from the Calls API.
  3. Download the available recording media using the supported recording resource links.
  4. Keep call identifiers and duration metadata with every audio file.

CallRail applies retention policies to call content. Check your current policy and any separately stored copies.

Bulk retrieval should follow the API's pagination and rate limits. Confirm transcript coverage separately.

Why CallRail data has value for AI training

Calls can connect advertising-driven inquiries with the conversations that qualify or resolve them.

Tracking-number and company context can help explain how requests reach different teams.

What stays private

Choose the companies, lines and calls in scope, with recording consent and sensitive content reviewed.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled. Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.
