HR and payroll

Find and export
your Gusto data.

Gusto's reporting can describe the people and payroll history held in the account. Define each count carefully because one payroll run can contain many employee-level entries.

Find your Gusto data size

  1. Use the Primary admin or an administrator with reporting access to the required fields.
  2. Open Reports and run the employee information report, including former employees in scope.
  3. Run Payroll Journal from the first retained payroll through the required end date.
  4. Count employee profiles, payroll runs and employee-payroll entries separately. Include time-report entries if used.
A payroll report row may describe one employee or pay item. State the row definition and use unique payroll identifiers when counting runs.

What to include in your data inventory

Report in records, listing employee profiles, payroll runs, employee-payroll records and time entries separately where available.

Give the retained years and staff scope, including former employees where relevant. Quantities and field descriptions are enough for the initial inventory.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Gusto history

  1. Export the employee report with the agreed fields and status filters.
  2. Export Payroll Journal for non-overlapping calendar-year or other supported periods.
  3. Collect the relevant time reports separately.
  4. Check permissions and columns, keeping payroll and employee identifiers consistent across the files.

Report formats and fields depend on the available controls and administrator permissions.

History from a previous provider is present only where it was imported or otherwise retained. Confirm that coverage separately.

Why Gusto data has value for AI training

De-identified payroll and time records can describe how work schedules and pay processing relate over time.

The meaning of each field and record type is necessary context for interpreting those workflows.

What stays private

Use counts and descriptions for the inventory. Any later personnel-data collection needs an agreed scope and handling of sensitive fields.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled. Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.

Common questions about Gusto data

Should every journal row count as a payroll run?

Identify the row type. A run can contain many employee or pay-item rows.

Can former employees be included in counts?

Include retained profiles within the selected scope and state that former employees are represented.

Why are fields missing?

Reporting access follows administrator permissions and selected report fields.

Does Gusto contain earlier-provider payroll?

Confirm whether that history was imported and remains available.
