Field operations

Find and export
your Housecall Pro data.

Housecall Pro's list exports provide quantities for jobs and customers. Job documents and photos are collected through a separate route, so describe their availability alongside the tables.

Find your Housecall Pro data size

  1. Use an Admin account.
  2. Open Jobs, remove date and status filters that would omit the history in scope, and choose Actions → Export.
  3. Confirm the recipient email and select Send File.
  4. Repeat for Customers and the relevant Estimates list, then count rows in each CSV.
Record counts should describe the filters used. An active-job view may exclude older completed work.

What to include in your data inventory

Report in records, with jobs, estimates and customers listed separately. Mention invoice PDFs, equipment history and attached photos where retained.

Use the earliest relevant dates in the exports and count staff with logins, including field users.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Housecall Pro history

  1. Adjust the list columns and filters to cover the required fields and history.
  2. Export the jobs, customers and estimates lists and download the emailed files.
  3. Open each job or estimate's Attachments area and download the relevant files.
  4. For a larger extraction, ask the administrator to check your plan's public API access and the records it supports.

Customer and job exports arrive by email as CSV files. Check spam or contact support if the expected export does not arrive.

Attachment downloads and invoice PDFs have separate scopes. Keep them linked to the originating records.
