Phone and call recordings

Find and export
your Nextiva data.

Nextiva's Recorder portal can collect the recordings matching a search. Call-log reporting adds dates and durations, while the account's recording settings determine the retained period.

Find your Nextiva data size

  1. Ask Nextiva support to confirm your Recorder portal access and its account scope.
  2. Set the portal's date range to the full retained period and review the recordings returned.
  3. Export the corresponding call log through Nextiva Analytics.
  4. Total actual recording durations where possible, identifying any estimate based on call-log time.
Access can cover the whole account or selected users. Confirm the scope and retention before reporting a company total.

What to include in your data inventory

Report in hours, with recording count, dates and the users or numbers included. Keep call-log-only activity separate.

Mention transcripts and copies stored outside Nextiva. Use the oldest retained recording for the history start date.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Nextiva history

  1. In the Recorder portal, filter to the agreed dates and users.
  2. Select recordings and use the bulk-export button for Export selected, or Export query results for the filtered set.
  3. Split a large collection into smaller date ranges when required.
  4. Export the matching call log and preserve identifiers linking it to the audio.

Nextiva warns that overly large recording requests can time out. Keep a record of the date ranges already downloaded.

Recording access and retention depend on the account configuration and subscription. Confirm them with support.

Why Nextiva data has value for AI training

Business phone conversations can provide examples of how staff respond to inquiries and resolve customer issues.

Call metadata helps relate the audio to a user, time and operational context.

What stays private

Choose the recorded users and numbers in scope, with sensitive conversations and consent reviewed.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled. Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.

Common questions about Nextiva data

How do we obtain Recorder portal access?

Request or confirm it through Nextiva support.

Can several recordings be downloaded together?

The portal supports Export selected and Export query results for the filtered recordings.

Why did a bulk request time out?

The collection may be too large. Use smaller date ranges as Nextiva recommends.

Does the account's age equal its audio history?

Check the oldest retained recording and any company archive. Retention can be shorter than the account's age.
