Find your Procore data size

  1. Use company-level access that covers the projects you want to measure.
  2. Open the project list in Procore Home, or the legacy Company Portfolio view.
  3. Include relevant active and inactive projects, export the list to CSV and count the project rows.
  4. Review item counts in representative project tools, such as RFIs, submittals and daily logs, identifying any estimate based on that sample.
Project count and tool-item count are different quantities. Name both, and check whether your permissions show every project.

What to include in your data inventory

Report in records, describing projects and the types of tool records counted. Include document and photo availability alongside the counts.

Use the earliest retained project history and identify company or project users represented. State which inactive projects remain available.

Add the dates covered and the people who use this software. Label estimates and describe how you calculated them.

Export your Procore history

  1. Review the project's Project Archive tool and select the records and attachments required.
  2. Create and download the project extracts supported by your account.
  3. Where appropriate, use Procore Extracts on a Windows computer with the required tool administrator permissions.
  4. Collect each selected project, preserving the folder structure and tool names. Ask support about inaccessible or inactive projects.

Archive capabilities and permissions vary by project and tool. Check the generated reports for omitted content.

A project list CSV provides metadata about projects. It is separate from the RFIs, documents and other items inside them.

Why Procore data has value for AI training

RFIs and submittals can show how construction questions are reviewed and resolved.

Daily logs, drawings and project files can add the field context that explains each decision.

What stays private

Select the projects and tools in scope. Review subcontractor and client document rights alongside sensitive commercial records.

Telegraph Lab reviews the proposed material with you and agrees how sensitive information will be handled. Preparation can include excluding material, redacting details and replacing personal identifiers. Your company keeps ownership; the licensing agreement defines the material, permitted uses and authorized recipients.
